TO: All Employees
FR: David Crozier, Associate Vice President for Financial Services

As part of our ongoing effort to participate in the CSU’s Multicampus Collaboration efforts, Sonoma State is excited to announce the launch of the CSUBUY P2P at the campus. CSUBUY P2P will go live at Sonoma State in November 2024. CSUBUY P2P will transform the way we do business with our vendors – from the procurement of goods and services, to the payment of invoices.

Among the many benefits of this web based solution, CSUBUY P2P initiative will enable new processes and tools to automate the ordering of goods and services, confirmation of the receipt of those goods and services, and the review and payment of vendor invoices. It will increase the visibility of our spending at a product and vendor level, enabling our operations and finance teams to make better informed decisions on a daily basis.

Some of the CSUBUY features that are currently utilized within our procurement and accounts payable departments include strategic sourcing, spend analytics, and a shared marketplace.  The first effort of this expanded project is to work with Sonoma State suppliers to onboard them onto CSUBUY P2P. Suppliers will be receiving communications with onboarding instructions this week, which may prompt suppliers to reach out to you, if you have an existing business relationship, to inquire about next steps and understand more about this initiative. We encourage you to direct supplier inquiries to your campus project team, at apinvoice@sonoma.edu

Jenifer Barnett, our Managing Director of Contracts and Accounts Payable has been serving on the systemwide implementation team and will also  lead the Sonoma State implementation team.  Jenifer and her team members in Procurement and Accounts Payable are prepared to help suppliers navigate this process and address any questions they may have.

There will be a series of campus training scheduled in the coming months to introduce the extended campus partners to the new solution and provide guidance on how to update the current business practices to take advantage of all the benefits the new solution will provide.  We are confident these changes will increase the visibility and transparency within procurement here at SSU. Your participation and involvement are critical to the success of this project, and we thank you for your attention and commitment to this initiative. Please look for additional communications that will be shared with the campus in the coming months.

Questions related to this communication or the CSUBUY P2P project can be directed to apinvoice@sonoma.edu.
