Scheduling the Compressed Video Conferencing System
At Sonoma State University
Video Conferencing using Sonoma State's compressed video conferencing system, (CODEC), is a convenient way for faculty, staff and students to meet face-to-face with colleagues at CSU and UC campuses without the expense and time required for travel. A meeting can be campus-to-campus or involve any number of our CSU & UC campuses simultaneously. The system can be used for statewide meetings, interviews, grant negotiations and informational meetings. This is a free service as long as you and your colleagues are conducting SSU business.
Meetings can be scheduled a maximum of two months in advance, but not less than five (5) working days in advance. We must have a name and phone number of the primary participant involved at each site. Advanced planning and follow-through are the keys to a successful video conference. It is extremely important that video conference cancellations be communicated to the Video Conference Coordinator well in advance of the scheduled meeting!
Instructional activities directly related to students, (i.e. classes), have top priority and may be scheduled up to six months in advance.
All reservations are on a first come, first served basis.
Scheduling and conducting a video conference requires work by you and Sonoma State Video Conference Technicians. Please see the list of responsibilities below. They outline the procedures for scheduling this facility, and detail who is responsible for what.
Responsibilities of Person Requesting the Meeting
- Call the SSU Video Conference Coordinator (Modesto Llanes, ext. 3090) to see if the SSU equipment is available on the date(s) and time(s) you are considering. It is prudent to have more than one possible meeting date available.
- Contact the people you plan to teleconference with to see if they are available for any of the possible meeting dates/times.

Call (Modesto Llanes, ext. 3090) to formally schedule the video meeting. You will need to provide:
- The preferred date and time
- The other campuses involved
- The name(s) of the person(s) participating at the other site(s)
- Provide a name for the meeting, (i.e., "CSU Safety Committee Meeting" etc.)
- The preferred date and time
- Once confirmation is received, contact all participants to confirm the date and time of the meeting and inform them about the status of the room at their site.
Responsibilities of SSU Video Conference Coordinator
- SSU Video Conference Coordinator confirms availability of SSU teleconferencing equipment and the room on dates requested.

SSU Video Conference Coordinator contacts the Video Conference Coordinators at each campus involved to check on the availability of their video conferencing facilities.
The SSU Video Conference Coordinator confirms to you the availability of the requested sites. (If several sites are not available, you may want to select an alternate meeting date and time.)
SSU Video Conference Coordinator will schedule the Video Conference with the System-wide Scheduling Center in the Chancellor's Office.
- SSU coordinator will inform the requestor when confirmation is received from the System-wide Scheduling Center in the Chancellor's Office.
